Getting started

How do I add a task quickly?

Tap + and type in plain English. TaskFusion reads the shorthand for you:

  • Dates and times: tomorrow 3pm, next Friday, 5 Dec
  • Tags: #Work, or nested tags like #Clients/Acme
  • Project: @Website (the start of the name is enough)
  • Priority: !high, !med or !low
  • Flag: !flag

For example, Call Sam tomorrow 3pm #Work !high @Website. On a Mac, press Command-N.

What's the difference between a space, a project and a column?

A space groups projects, such as Work and Home. A project is a board. Columns are the stages on a board, such as To Do, Doing and Done. Drag tasks between columns as work moves on.

How do smart lists work?

A smart list shows every task that matches its filters: tags, projects, priority, flag and due date. Create one from the + menu in the sidebar. It updates itself as tasks change, and it appears in widgets and Siri.

Sync and devices

How do my tasks sync between devices?

Through your own iCloud account. Sign in with the same Apple Account on each device, and check iCloud is on for TaskFusion in Settings > [your name] > iCloud. Changes usually arrive within a minute while the app is open.

My tasks aren't syncing. What can I check?
  1. Every device uses the same Apple Account.
  2. iCloud is on for TaskFusion (Settings > [your name] > iCloud > Apps Using iCloud), and your iCloud storage isn't full.
  3. The device is online. Low Power Mode can delay sync.
  4. Open TaskFusion on both devices and wait a minute.

The first sync on a new device can take a few minutes if you have a lot of tasks or files.

Does the Apple Watch app need my iPhone?

It syncs through iCloud, so it works over Wi-Fi or mobile data without the phone nearby. The watch app needs watchOS 26, which pairs with an iPhone on iOS 26.

Reminders and widgets

I'm not getting reminders.
  1. Allow notifications for TaskFusion in your device's Settings > Notifications.
  2. In TaskFusion, open Settings and check reminders are on and the time is right.
  3. Check the task has a due date, and its reminder is on.

Location reminders work on iPhone. They need location access set to While Using the App.

How do I add a widget?

On iPhone or iPad, touch and hold the Home Screen, tap Edit > Add Widget and choose TaskFusion. On a Mac, right-click the desktop and choose Edit Widgets. Touch and hold a widget to pick which list it shows.

HighLevel (GoHighLevel)

My CRM isn't called HighLevel. Will it work?

Many agencies sell HighLevel under their own name. If your CRM has Settings > Private Integrations and a Location ID, it's built on HighLevel and TaskFusion can sync with it.

How do I connect HighLevel?
  1. In HighLevel, or your agency's branded version of it, open the sub-account and go to Settings > Private Integrations. Create an integration with the scopes TaskFusion lists.
  2. In TaskFusion, open Settings > Integrations > HighLevel, paste the token and your Location ID (Settings > Business Profile in your CRM).
  3. Turn on Opportunity Sync, Task Sync, or both.

The token stays in your device's keychain. Each device needs it entered once.

What happens if I turn a HighLevel sync off?

TaskFusion asks first, sends any changes it hasn't sent yet, then removes those boards from TaskFusion. Nothing is deleted in HighLevel. Turn the sync back on to recreate the boards.

Your data

Can I back up or move a project?

Yes. Open the project's menu and choose Export Project. To bring it back, use the + menu in the sidebar > Import Project.

Where is my data, and who can see it?

On your devices and in your own iCloud account. We don't collect it and can't see it. Read the privacy policy.
